1. Introduction

These Terms and Conditions govern your use of Scott Automations' services and website (scottautomations.co.uk). By using our services or completing our onboarding form, you agree to these terms. Please read them carefully.

2. Our Services

Scott Automations provides AI-powered enquiry handling and booking systems for small businesses. Our services are delivered via website chat widget, WhatsApp, Instagram, Facebook, SMS and email, and include lead capture, enquiry handling, appointment booking, contact management and business notifications depending on the tier selected.

The specific features included in your service are determined by your chosen tier at the time of purchase:

• Solo / Small (1–3 staff) — AI enquiry handling, contact capture, calendar booking and full multi-channel integration. Setup fee £199, £225/month.
• Studio (4–6 staff) — All Solo/Small features plus individual staff calendars and routing. Setup fee £299, £325/month.
• Multi-Location (7+ staff or multiple locations) — All Studio features plus multi-location support and advanced calendar management. Setup fee £499, £425/month.

The specific configuration of your service will be agreed during the onboarding process.

3. Fees and Payment

3.1 Setup Fee — A one-off setup fee is payable upon purchase and prior to any work commencing. This fee covers the design, build, configuration and testing of your system. Setup fees are strictly non-refundable except as outlined in Section 6 (Money-Back Guarantee).

3.2 Monthly Subscription — Monthly subscription fees are as per the tier purchased. Payment is collected automatically via Stripe on a rolling monthly basis from the date your system goes live.

3.3 Late Payment — We reserve the right to suspend services if payment fails and is not resolved within 14 days. Interest may be charged on overdue amounts at 8% per annum above the Bank of England base rate, in accordance with the Late Payment of Commercial Debts Act 1998.

3.4 Price Changes — Prices may be subject to change with 30 days' written notice. Early access clients who have locked in pricing at the point of purchase are exempt from price increases for as long as their subscription remains active and uninterrupted.

4. Setup and Onboarding

Once your onboarding form has been submitted and your setup fee received, we will begin building your system. Build times are typically within 2–3 working days, though this may vary depending on complexity.

You are responsible for providing accurate and complete information during onboarding. Scott Automations is not liable for issues arising from incorrect or incomplete information provided by the client.

5. Contract Term and Cancellation

5.1 Minimum Term — There is no minimum contract term. Your subscription is rolling monthly from the date your system goes live.

5.2 Notice Period — Either party may cancel by providing 30 days' written notice via email to [email protected].

5.3 Effect of Cancellation — Upon cancellation, your system will be deactivated at the end of the notice period.

6. Money-Back Guarantee

We offer a 30-day money-back guarantee from the date your system goes live. If you are not satisfied with the service within this period, please contact us in writing at [email protected]. We will refund any monthly retainer fees paid within the 30-day period. Setup fees are excluded from this guarantee and are non-refundable in all circumstances.

7. Acceptable Use

You agree to use our services only for lawful business purposes. You must not use Scott Automations' services to:

• Engage in any fraudulent, deceptive or misleading activity
• Harass, abuse or harm any individual
• Violate any applicable laws or regulations
• Collect data from individuals without appropriate consent under UK GDPR

Scott Automations reserves the right to terminate services immediately and without refund if these terms are breached.

8. Intellectual Property

All AI system configurations, prompts, workflows and automations built by Scott Automations remain the intellectual property of Scott Automations. Clients are granted a non-exclusive licence to use these during the period of their subscription. Upon cancellation, this licence ends and Scott Automations' underlying systems and configurations may not be copied, replicated or shared.

9. Limitation of Liability

Scott Automations provides its services on a best-efforts basis. We do not guarantee that the system will capture every enquiry or that all interactions will be handled without error, as performance may be affected by third-party platforms including WhatsApp, Meta, Instagram, Facebook, GoHighLevel and Anthropic's Claude API.

To the fullest extent permitted by law, Scott Automations shall not be liable for any indirect, incidental or consequential losses arising from use of our services, including but not limited to lost revenue, lost contracts or missed business opportunities. Our total liability shall not exceed the total fees paid by you in the 3 months preceding the claim.

10. Third-Party Services

Our services rely on third-party platforms including GoHighLevel, WhatsApp Business API, Anthropic's Claude API, Instagram, Facebook and Stripe. Scott Automations is not responsible for any disruption, outage or change in these platforms that affects service delivery.

11. Governing Law

These Terms and Conditions are governed by the laws of Scotland. Any disputes arising from these terms shall be subject to the exclusive jurisdiction of the Scottish courts.

12. Changes to These Terms

We may update these Terms and Conditions from time to time. Any changes will be posted on this page with an updated date. Continued use of our services after changes are posted constitutes acceptance of the new terms.
